Steppenwolf Theatre Company is seeking candidates for the full-time position of Rental and Events Manager. This role is an essential part of the Executive team and supports the entire organization. The Rental and Events Manager serves as the operational point person for all meetings and events on the Steppenwolf campus and works with the Development team to execute logistical support for marquee donor events, including the annual Gala Benefit, opening nights, and other fundraising events. The position reports to the Director of Business Operations & Strategic Growth.
Areas of Responsibility:
External Rental & Events, coordination & sales
Oversees all external rentals and vendor relationships to generate revenue and manage expenses by:
• Receiving and responding to all inquiries, conducting outbound sales, preparing contracts and issuing
invoices for external events and rentals.
• Planning events from start to finish according to requirements, target audience and objectives.
• Strategizing to expand and grow the external rental program. This includes benchmarking research, lead
generation, networking, and marketing.
• Leading vendor selection as needed, including RFPs, contract negotiations, and partnership for catering,
entertainment, audio/visual, facilities services and photo/videographer.
Internal Rental & Events
Manages and Coordinates the logistical planning of all internal events by:
• Managing master events calendar and working closely with operations and production teams to support on
campus events.
• Coordinating amenities, food, accommodations and site selection for internal meetings and events.
• Creating, in partnership with Finance Team, the budget and spending for internal and external events.
• Serving as the operational point person for all events, coordinating with Departmental leads to manage set-
up, tear-down and clean-up operations.
• Working with each department to manage space requests for lobbies, theaters, and rehearsal spaces
• Executes logistical management and execution of marquee fundraising events by:
• Coordinating with the Development Team for vendors, caterers, staff and entertainment for the annual Gala.
Works closely with all Steppenwolf departments for event execution including Production, Facilities, Front of House, Food and Beverage, Finance, Development, Marketing and more.
Successful candidates will have:
• Previous experience with event management including client/vendor interactions.
• Some experience and comfort with inside and outside sales
• Knowledge of Microsoft Office (Outlook, Excel, PowerPoint).
• Ability and flexibility to work evenings and weekends.
• Proven organizational skills and great attention to detail.
• Excellent written and oral communications skills.
• Self-motivated and able to prioritize and multi-task efficiently. Ability to manage multiple projects
simultaneously.
• This position reports to the Director of Business Operations and Strategic Growth.
Compensation: $59,885 - $65,874 salary with excellent benefit package for full time employees, including medical, dental, vision insurance, short-term and long-term disability insurance, life insurance, vacation pay, paid sick time, personal days, Ventra transit benefit program, employee assistance program and 401(k) matching retirement program.
