Brooklyn Academy of Music (BAM) is a multi-disciplinary arts center located in Brooklyn, New York. BAM is seeking a Growth and Brand Operations Coordinator to provide administrative support for the Growth and Brand divisions. The ideal candidate will assist the Director of Growth Operations, to ensure smooth operations across Marketing, Brand, and Advancement. Help coordinate an efficient event setup process in cooperation with the Director; coordinate financial operations for the Growth & Brand divisions, with insight from the Director, department heads, the Chief Growth Officer, and the Chief Brand Creative Officer. In addition, administer reports and projects related to spending, sales, and attendance for live events, cinema, and other programs, for internal reporting purposes and government/grant reporting. Also, assist in organizing meetings for the Growth division, in relation to On Sales and enabling cross-collaboration between Marketing, Brand, and Advancement.
Essential Duties and Responsibilities:
Coordinate financial operations for the Growth and Brand divisions, including budget creation and entry, promotional spend allocation, and expense management, in cooperation with the Director and other department heads.
Maintain and reconcile promo, Marketing and Brand OTPS budgets, through monthly reporting and analysis including submitting recodes and budget modifications to Finance, as necessary.
Submit all Growth and Brand division Purchase Orders in Multiview in a timely and accurate manner. Communicate with vendors on payment status, as needed.
Manage the monthly reconciliation of Growth and Brand division credit cards in cooperation with Finance
Produce event setup documents and route to the appropriate parties in Marketing, Programming, General Management, Finance, and Education, to deliver to the Box Office for setup in Tessitura.
Support the Brand division with routing proofs of marketing materials, emails, and webpages
Assists the gift processing team with contribution forms for gifts pledged or received over $5,000 (“Local Lane”).
Collaborate with the Box Office to create discount offers in Tessitura and serve as point of contact with external ticketing vendors for promotion and inventory management, to support Marketing’s revenue goals.
Distribute staff and external comp ticket offers, monitor ticket limits, and submit to the Box Office prior to the applicable performance.
Provide sales updates/reports to individuals across departments internally as well as to external companies based on contractual obligations.
Update and maintain information in Tessitura for the Division as needed, including but not limited to creating source codes, entering sales goals, genre tags and keywords.
Oversee On Sale Date calendar, providing regular updates and setting up On Sale Support Bridges in collaboration with the core ticketing team.
Qualifications
Bachelor’s Degree and/or minimum of 2+ years of previous work experience, preferably in the performing arts or other non-profit organization
Excellent writing, communication, organizational, and interpersonal skills
Proficiency with Microsoft Office: Outlook, Word, Excel
Anticipates and proposes solutions to challenges before they become problems
Knowledge of the arts & culture landscape, Brooklyn communities, and/or BAM programming and organization strongly preferred
Experience with Tessitura or other ticketing software a plus
Experience with Multiview or other financial software a plus
Knowledge of basic accounting principles
Ability to track and accomplish multiple projects simultaneously and in a timely manner
Highly organized and detail-oriented
Patience, flexibility, and comfort with both abstract and concrete assignments
Able to multitask, prioritize, and ask questions when assignments are unclear, leveraging the expertise of the larger team as well as the Director
Accuracy with numbers
Self-motivated
Interest in performing and cinema arts
Ability to work remotely and in person
Compensation: The salary for this position is $54,000 per year. The role is represented by Local 2110 and will be paid in accordance with the BAM/UAW Local 2110 Collective Bargaining Agreement. This position is full-time, non-exempt, and eligible for benefits. Working conditions: Category 2: Administrative Work with Light Physical Exertion
Lifting of boxes of marketing materials (normally around 30 lbs)
Mobility to distribute marketing materials throughout BAM lobbies and venues
