The Business & Operations Manager is responsible for the efficient coordination of Remy Bumppo’s administrative operations and the fiscal management and reporting for the organization. The Business & Operations Manager reports jointly to the Producing Artistic Director (finance matters) and the Managing Director (operations matters). Specifically, the Business & Operations Manager is responsible for:
Operations Management
Ensure smooth operations of all Remy Bumppo facilities, including the administrative office, rehearsal room & green room, storage facility, and performance venue. This includes:
Manage infrastructure, business machines, and technology needs for employees, including phone and internet service, computers and softwaare, printer and copiers, etc.
Ensure maintenance of furniture, office supply inventory, general office cleanliness
Oversee contract administration (leases, services, etc), manage vendor relationships
Coordinate & facilitate the utilization of spaces for meetings, rehearsals, classes, rentals, and events.
Manage security and facilities access
Administration of company insurance policies for employees and business operations
Formalize policies and procedurs in accordance with HR and labor standards
Serve as primary coordinator of rehearsal room rental to outside groups: determine availability, set fees, publicize, manage requests, agreements, access, and payments.
Act as staff liaison to HR and Accessibility Committees.
Finance Management
Assist the Producing Artistic Director, Board Treasurer, and Finance Committee in short- and long-term fiscal planning
Coordinates and assists in the creation of the annual budget
Coordinates and assists in the creation of monthly and yearly forecasts for the organization
Responsible for the execution of the annual budget, providing assistance to all departments on budgetary review and analysis
Includes monthly and quarterly analysis of all departments with department heads
Manage administrative budget lines (approximately $320k)
Responsible for the creation of short term cash flow projections and budgetary forecasts
Responsible for yearly, quarterly and monthly cash flow projections and budgetary forecasts
Works with department heads and other staff and board members to review departmental cash flow projections
Help to establish, maintain and oversee the implementation of operating procedures and systems of control for all financial transactions
Coordinate and oversee the annual audit, including overseeing field work and presentation of audit to the Finance Committee
Communicate financial information to the staff & board
Act as staff liaison to the Finance Committee
Provide information to the outside payroll service for bi-weekly payroll, the weekly production payroll, and the accurate processing of quarterly tax reports
Creates monthly financial statements for the Board & Departments, as needed
Manage payroll & payables operations and compliance
Maintain all tax records
Maintain not-for-profit status, tax exempt documents, etc.
Prepare checks for bank deposits; process credit card payments and donations.
Other
Serve as one of the first points of contact for the Remy Bumppo office: act as a receptionist for incoming calls; sort and distribute all incoming mail; maintain outgoing phone message information; manage general voicemail and email mailboxes.
Serve as primary coordinator of the classes, including consults with Producing Artistic Director, Associate Artistic Director, the Core Ensemble, and the Marketing Manager about potential course offerings including setting the schedule based on teacher availability, class size and fee; working with teacher to create appropriate description for each class; handling the applications and payments.

Desired skills and experience
A minimum of three years relevant experience, preferably at a performing arts or non-profit organization
Highly proficient with Quickbooks and Microsoft Excel
Demonstrate a high level of organizational skills
Possess strong communication, negotiation and relationship-building skills
Demonstrate a superior level of customer service and follow-up skills
Compensation and Benefits
Annual compensation is between $42,000 – $49,000, commensurate with experience.
Employee benefits include paid sick leave, generous vacation time, and health insurance.
Reports jointly to the Producing Artistic Director and Managing Director
