ARTECHOUSE in New York City is looking for an experienced, well-organized tech- savvy Venue Facilities Manager to join our team. In this role you will oversee all building-related operations and be responsible for preserving the pristine condition of the infrastructure and ensure all facilities are safe and well functioning for both the visitor experience and the technical equipment that runs our exhibits.
CORE RESPONSIBILITIES:
-Ensure space is set-up in a professional working environment with Covid-19 safety protocols in place
-Demonstrate effective management expertise to ensure smooth system operations and coordinate effectively between Venue’s internal and external needs, to ensure everything runs on time as needed
-Oversee the functioning of all building systems including mechanical, electrical, fire/life safety, security, plumbing, and waste management
-Assist in negotiating, creating and keeping a robust list of reliable vendors for improvements, expansions, repairs, touch ups, etc that can be reached out to in various scenarios
-Ensure maintenance contracts are in place
-Work proactively with the rest of the team to deliver and manage the events and artistic programme to the highest quality
-Assist with compliance steps for TCO and Public Assembly permits
-Work with the General Manager to create the Facilities budget for the venue; maintain budget over the year
-Develop and implement a facility management program including preventative maintenance
-Respond to off-hours emergencies, reporting to the site when required
-Serve as a point of contact with neighboring tenants and the landlord
-Assist in management of construction and other projects as they arise
-Work closely with the General Manager, Production Manager and Front of House Team
-Maintain office supplies, cleaning supplies, maintenance supplies (light bulbs, etc)
-Create event plans and risk assessments for both large and small-scale events and artistic activity
-Assist with negotiating and procuring outsourced cleaning crew for cleanliness adequate for both visitors and the equipment in the venue
-Work with the landlord on remaining punch list items from 2019 construction, i.e. configure adequate ventilation and prepare for the winter season and resolving HVAC issues
-Provide effective management in accordance with regulatory requirements, health and safety standards, industry codes
-Develop and ensure compliance with necessary NYC safety policies applicable to the venue, province and federal licensing requirements, occupancy loads, fire regulations and Occupational Health and Safety Act
-Ensure all permits are up to date and the paperwork is organized and accessible
-Resolve breakage, leaks, and other facilities related calls and notes as reported
-Populate and organize all maintenance worksheets for good record keeping that is accessible by management
-Keep good accounting records and do proper invoicing related to facilities work.and maintenance contracts
-Assist in preparing the space for the new installation turnover
-Assist production team with routine equipment maintenance
-Supervise set-up of other special production requirements for all events
-Advise on and monitor energy efficiency
-Prepare and track facility budget and monitor expenses and payments
-Generate and present regular reports and reviews of facility-related budgets, finances, contracts, expenditures and purchases
CORE QUALIFICATIONS + EXPERIENCE:
-5-7 years of Facilities Management Experience in a large venue or performance venue with technical equipment such as projectors, audio, and lighting in a fast-paced environment
-Theater/attraction//museum/large event facilities experience a must
-Experience in facility management (maintenance, working with contractors & vendors, bidding out and negotiating jobs)
-Substantial decision making relative to personnel, safety, fiscal and facility/maintenance management
-Ability to listen and communicate effectively
-High attention to detail with exceptional organizational skills
-Strong time-management skills; ability to multitask, and prioritize
-Knowledge of HVAC Systems
-Knowledge of building codes and laws
-Knowledge of constructions/MEP drawings
-Basic knowledge of electrical, public, and carpentry
-Demonstrated written and verbal communication skills
Job Requirements:
-Lift up to 40lbs, to load and transport bulk supplies, fixtures, etc.
-Regular crouching, bending, twisting, stooping, kneeling, etc. to facilitate various repairs and maintenance activities
-Ability to stand, walk on hard floor surfaces for a prolonged period of time
-Hold or willing to obtain the following prior to starting the position - Fireguard (F-01), Indoor Place of Assembly Safety Personnel (F-03), Supervision of Fire Alarm and Systems and Other Related Systems (S-95), Fire and emergency Drill Conductor (F-07), and Sprinkler (s-12)
