Summary

Tinc Productions seeks a candidate to fill the Vice President of Theatrical Services position overseeing and managing the Theatrical Production Management Division of the company. The right candidate will have a strong background in commercial and/or regional production management, as well as exceptional written and verbal communication skills.

Duties

This scope of work is intended to outline the general role expectations required to fulfill this position. An attempt to be as thorough as possible has been made, but there may be additional duties required.

This position will work directly with and be a part of Tinc Productions Senior Management Team. This role will have decision-making ability and will oversee Tinc Productions theatrical division and employees within. Including, Production Manager(s), Associate Production Manager(s), and production associate(s).

Client/Vendor Responsibilities

  • Serve as point of contact for Theatrical Services clients and develop/maintain client relationships in conjunction with CEO.

  • Create an inclusive environment for all clients searching for theatrical production management services

  • Continue to develop a metric for approval or decline to bid on projects that fit within Tinc’s growth plan and goals

  • Develop new relationships with General Managers and Producers to sustainably grow Tinc’s market share of the New York City’s commercial theatre market Off-Broadway, Broadway, Regionally and National Tours

  • Attend networking events and/or sales meetings for clients

  • Create proposals for new and existing theatrical clients for production management needs in collaboration with Leadership.

  • Coordinate with vendors for rentals and purchases for projects.

  • As needed, create and submit receipts, change orders, timecard reports, and other documentation as needed by the client.

  • Follow up on projects with post mortems and other reporting

  • Receive and implement client feedback.

  • Manage the theatrical division focusing on providing Precision, Professionalism and Partnership.

Employee Management Responsibilities

  • Participate in all Safety practices and procedures, and prioritize safety on every job. Serve on Safety Committee and participate in assessments and investigations as needed.

  • Participate as a member of the senior management team by attending all senior management meetings and discussions.

  • Recruit, hire, train, supervise, discipline, and terminate full time, part-time and contractor theatrical employees.

    • Create and maintain accurate job descriptions and postings.

    • Be an active participant in building a diverse roster of managers, associates and production assistants

    • Attend hiring fairs on behalf of Tinc Productions

    • Read resumes and conduct interviews for potential additions to our part-time workforce

    • Schedule internal and external training session for divisional employees bi-annually on procedures and policies.

  • Coordinate with the VP of Labor Services and the labor division on cross company projects involving Theatrical and Labor.

  • Assign Production Managers, Associates and Production Assistants to projects

  • Keep a detailed schedule of assigned projects updated throughout the season

  • Review all daily show, rehearsal, performance and technical rehearsal reports for all theatrical productions.

  • Maintain relationships with part-time staff, seeking feedback and opportunities for growth and improvement

  • Plan and/or participate in social gatherings for employee cultivation.

  • Work with production managers to help troubleshoot and find solutions to production problems as issues arise.

  • Stay active in production conversations through production management teams and give guidance as needed to ensure a smooth production process.

  • Manage the theatrical division focusing on providing Precision, Professionalism and Partnership.

Staff Responsibilities

  • Participate in Team Meetings, Labor Services Meetings, Safety Committee, Senior Management and other meetings as required.

  • Submit expenses and change orders in a timely fashion to the finance department.

  • Engage with and assist Marketing and Business Development to grow the business

  • Engage in creation, development, and improvement of company policies, procedures, and documentation.

  • Participate in decision making regarding theatrical services projects and related staffing needs.

  • Create a yearly fiscal budget for Division of Theatrical Services taking into consideration future needs, growth, seasonal expansion and retractions and other requirements as needed.

  • Create quarterly and yearly goals / benchmarks for the theatrical division and employees keeping an eye on sustainable growth while balancing individual employee workload.

  • Support company efforts in workload management to ensure a positive work-life balance for employees in the theatrical division.

Production Management Responsibilities

For productions that the VP of TX Services is directly production managing:

  • Oversee pre-production for assigned shows

    • Build and maintain production schedules including design deadlines, site visits, load in schedule, tech schedule, production meetings, and load out schedule

    • Create agendas and run all production meetings

    • Hire all production heads and run crew

    • Build and maintain physical production budget

    • Bid out all departments within the scope to shops

    • Build labor calendar/budget and distribute to production heads, assist production heads as necessary to staff the crews for calls

  • Supervise load in and tech rehearsal work notes call and respond to all technical needs with appropriate department heads

    • Build and distribute load in and tech reports, once on site.

    • Maintain accurate timesheets and updated tax paperwork for all crew members

    • Work with department heads to ensure that all projects are completed in a timely manner and in-budget.

    • Send weekly spending report to client.

  • Oversee technical elements and run crew during show’s run

    • Build maintenance and sub training schedules.

    • Assist in finding and hiring subs

  • Respond to all production emails and technical needs in a timely manner

  • Assist in hiring and onboarding APM who maintains paperwork and spending tracking, in addition to other tasks as required for projects.

  • Supervise APM(s) and PA(s) throughout show process.

  • Not all shows require all tasks, and some shows may require more responsibilities.  This list is not exhaustive. The scope of your duties may change with project assignments and will be reviewed as needed.

General Responsibilities as a Tinc Employee

  • As a member of the Tinc Management Team, you may be called to assist, provide opinions, or provide services to specific Tinc projects as needed.  These should not take focus away from your primary duties.

  • Ensure that safety procedures are being upheld across all departments and that our employees and non-employee staff maintain a positive and healthy working environment.

  • Contribute to the growth and development of Tinc Productions procedures, processes and systems.

  • Ask questions when you are unsure.

  • Physical activities including but not limited to standing, bending, lifting, climbing, and using stairs.

Required Qualifications

  • 5 Years Theatrical Production Management (Regionally or NYC Based)

  • Live in the Greater New York City Area

  • Excellent verbal and written communication skills

  • Excellent interpersonal and customer service skills

  • Excellent organizational skills and attention to detail

  • Excellent time management skills with a proven ability to meet deadlines

  • Strong analytical and problem-solving skills

  • Strong supervisory and leadership skills

  • Proficient with Microsoft Office Suite

Ideal Qualifications

  • 3+ Years Employee / Team Management

  • Hands on experience working outside of a management capacity in Carpentry / Electrics / Sound / Video preferred but not required.

  • Production Management of Broadway Productions or similar experience

  • PMP / CSM / CBPA or AMA Certificate preferred but not required

  • Broadway Experience preferred but not required

Physical Requirements

  • Prolonged periods of standing or walking on site

  • Prolonged sitting at a desk or work station on a computer

Start Date

January 2, 2024 (or sooner for the right candidate)

Pay Range and Benefits

Pay Range: $75,000 – $90,000 Annually (Negotiable)
