Senior Manager, Rentals - Senior Human Resources Generalist

Brooklyn Academy of Music (BAM) is a multi-disciplinary arts center located in Brooklyn, New York. Reporting to the Director of Corporate Strategy, the Senior Manager, Rentals will manage and support the sales, lead generation, procurement of third-party external rentals for BAM. Utilizing its campus and event spaces, prospecting, research, and vetting process for leads/inquiries of rentals and bookings. Also, maintain and own Rentals Pipeline and Tracker.











Essential Duties and Responsibilities:



Field incoming inquiries and ensure all necessary information is obtained from prospective clients; manage BAM Events inbox

Maintain process-integrity in the evaluation and vetting of rental inquiries, including cross-referencing internal calendars, venue availability, staff capacity, and budget parameters

Work with General Management (GM) to maintain accurate calendar/pipeline of rentals

Act as primary contact and maintain client relationships throughout entire rental lifecycle

Coordinate with GM to conduct walk-throughs, create event budgets, and negotiate with clients

Continue to develop and enhance booking relationships with agencies (WME, AEG, LiveNation, etc.)

Manage the rentals contract process in collaboration with GM

Manage financials and forecasting to ensure rentals and bookings are accurately priced

Oversee invoices, incoming payments, and expenses for Rentals

Continue to develop and secure private screenings and premieres with Studios (Amazon, Hulu, Disney, Netflix, Starz, etc.)

Manage and schedule calls with clients, communicating needs to internal teams (GM/Production), and following-up with clients in a timely manner

Collaborate with Director on research and identify new opportunities to engage and attract new business

Negotiate all contracts and minimums, maximize revenue opportunities on the calendar

Develop strong relationships with internal BAM stakeholders across BAM, including General Management, Programming, Production, Security, Marketing, and Box Office

Collaborate with Director on marketing campaign and initiatives

Maintain organized and up-to-date files and documents

Collaborate with Director on systems and data processes





Qualifications

Bachelor’s degree, or equivalent work experience

Minimum 5+ years Event Sales experience, preferably for a large venue (not restaurant)

Knowledge of and proficiency in Microsoft Office Suite and the Internet

Excellent oral and written communication skills in various formats with a variety of personalities

Excellent multitasking and project management skills

In depth understanding of financials and forecasting to ensure private event sales bookings are accurately priced with appropriate sales & demand

Experience managing budgets and working cross-functionally to deliver an exceptional experience for constituents

Demonstrate ability to effectively manage external stakeholders

Must be willing and able to be on-site for walk throughs and day of event management

Must be able to work evenings and weekends



Compensation: The salary for this position is $73,000 per year. This role is represented by Local 2110 and will be paid in accordance with the BAM/UAW Local 2110 Collective Bargaining Agreement. This position is full-time, exempt, and eligible for benefits. Working conditions: Category 2: Administrative Work with Light Physical Exertion



Must be willing and able to be on-site for walk throughs and day of event management
