Free golf, tennis, track & field, soccer, and fitness programs bring high-quality instruction and equipment into areas where few organized athletic opportunities exist. We offer leveled training, year-round scholarship coaching, and special pro events.
ABOUT THE SWEDISH COTTAGE MARIONETTE THEATRE
A “Marionette Touring Company” was founded in 1939 by Parks Commissioner Robert Moses, and in 1947, the Swedish Cottage Marionette Theatre became home to the Company. A permanent theater was constructed inside the Cottage in 1973, precisely designed for marionette performances. Since then, hundreds of thousands of children and families have enjoyed its original marionette productions. Under the joint direction of City Parks Foundation and NYC Parks, the Swedish Cottage Marionette Theatre, as well as its traveling extension, the CityParks PuppetMobile, continue to entertain audiences throughout New York City. The Cottage is also host to numerous birthday parties as children celebrate important milestones with their friends and family at a puppet show and a party in the historic Cottage.
POSITION SUMMARY
The Swedish Cottage Marionette Theatre Operations Assistant is a full-time employee of City Parks Foundation. The Operations Assistant is responsible for a broad range of administrative and clerical duties supporting the day-to-day business operations of the Swedish Cottage Marionette Theatre. The ideal candidate must be goal oriented, proficient, should be well-organized, highly motivated, is comfortable functioning in a vibrant production environment and be very dependable. This position requires on-site work at the Swedish Cottage Marionette Theatre, located at 79th Street in Central Park.
DUTIES AND RESPONSIBILITIES
Administrative Support and Venue Management
Manage the phone and online inquiries and reservations.
Serve as a point of contact for vendors.
Responsible for contacting the appropriate vendors or Parks Department staff for making repairs or purchase of equipment.
Submitting attendance and maintenance reports to Historic House Trust.
Coordinate with CPF Arts Operations and Marketing teams to effectively create and communicate production and marketing timelines and deliverables
Manage use and troubleshooting of all of?ce technology, including hotspots and computers
Create spreadsheets and documents using Google Workspace Apps for theater operational purposes
Manage office supplies inventory.
Preparing interoffice and out-going mail. Coordinate and monitor all deliveries.
On an as-needed basis open the office in the morning and lock up the office in the evening
Ticketing, Reservations & Group Sales
Responsible for completing group reservations for schools, daycare centers and nonprofits via telephone and email
Provide customer service for SeeTickets ticketing system including reprints, sales, will call and scanning issues
Execute ticket sales for day-of and advance sales at box office, cash and credit sales
Serve as front of house support by checking-in guests with advance reservations, interacting with patrons in an accurate, courteous, and efficient manner
Take reservations for birthday parties while accurately communicating the offerings of the birthday party package, the rules of the Theatre and Central Park to birthday party patrons
Managing the Swedish Cottage Marionette Theatre’s SeeTickets account. This includes posting theater performance schedules, generating and analyzing SeeTickets reports relating to daily income and attendance
HR and Budget Support
In coordination with the Artistic Director and Puppeteer Administrator, prepare schedules for Puppeteers, review and adapt weekly and monthly hours projections for the Puppetmobile staff, Theatre performance staff, party-duty staff, and front of house staff.
Manage timecard entries and approval for payroll processing in Paychex system.
Assist with orientation and training for front of house staff, volunteers and interns.
Prepare invoices, staff reimbursements, and maintain related Theatre budget tracking documents.
Prepare bank deposits and maintain records relating to revenue received.

REQUIREMENTS
A baccalaureate degree in Office Administration, Theatre Administration, Accounting or related field from an accredited college or university is preferred.
A High School diploma and 4+ years of experience in Office Administration, Theatre Administration, Accounting or a related field, or a satisfactory equivalent combination of education and experience is required.
PREFERRED SKILL QUALIFICATIONS
Exceptional customer service skills and a welcoming style of interaction both on the phone and in person.
Self–starting individual that exhibits initiative, positive energy and a high level of professionalism. Ability to work independently
Must be organized and able to meet deadlines with strong attention to detail, multi-task and work in a high energy, quick paced environment
Excellent interpersonal and communication skills
Experience in database management
Experience processing payroll and accounts payable preferred
Experience with Paychex and Sage Intacct systems a plus
Experience utilizing a ticketing platform, SeeTickets experience, or other ticketing platform, a plus
Experienced and knowledgeable user of Google applications such as Mail, Calendars, Drive, Sheets and Docs
