Pandora Productions is seeking a driven, organized, customer-oriented Managing Director to assist the company in delivering a programming that creates profound relatedness and belonging by and for our diverse human community.



Located in downtown Louisville, KY, Pandora Productions leads LGBTQIA+ theatrical programming in a thriving artistic community. For over 25 years, Pandora Productions has been the oldest theatre in Kentucky and only theatre company in the Louisville Metro region exclusively dedicated and most trusted to tell the stories of the LGBTQIA+ communities. Performing a 5 show mainstage season, we present bold, cutting edge, award winning musicals, dramas, and comedies, and we celebrate local, regional, and national playwrights with our special programs like our PlayDates and Intersections projects.



As we grow into our next 25 years, we seek to present programming that better reflects the beautiful intersections of identities present in our community. We want to tell the stories of the whole of the LGBTQIA+ experience, stories from the perspective of ability, age, race, religion, and more. Managing Director Position and Goals



The Managing Director will lead the operational management of the company in collaboration with the Producing Artistic Director, the Associate Artistic Director, and the board of directors. Duties include subscriber maintenance, ticketing & patron services, bar management, coordinating volunteers, and managing the front of house during production runs. This position requires strong customer service skills, the ability to work in a fast-paced environment, the ability to self-motivate, and a positive attitude. This position is on-site during production weeks (about 20 weeks per season), but otherwise is remote.



At Pandora, we use theatre to explore artistic expressions of the commonality and diversity of human experience within the spectrum of sexuality and gender identity. There are many stories to tell and many ways in which they can be told. We are looking for someone who leads with authenticity, integrity, and compassion to help drive the growth of the organization both on and off the stage.



Responsibilities



Subscriber Maintenance & Patron Services/Management

* Establish and maintain patron service standards and quality grounded in the organization’s vision and mission

* Set up ticketing for season subscriptions, single shows, and special events

* Process online and phone ticket orders and manage rescheduling

* Accurately produce performance reservation sheets

* Respond to emails & phone calls within a timely manner

* Monitor social media for comments & messages

* Communicate with other team members as needed to respond to patron needs

* Manage communication with patrons to ensure a smooth experience at the theatre and between shows

* Maintain constituent & donor databases in Salsa

* Maintain current and ongoing season donor list for program

* Provide a list of donors for each calendar year for tax acknowledgement letters



Bar & Operational Management

* Set up and strike front of house & bar for each production run

* Maintain bar stock and schedule bartender(s) and board members for sales

* Create & name a specialty mixed drink for each show

* Create signage as needed

* Maintain cleanliness of theatre and linens

* Recruit, train, and manage volunteers

* Maintain cash banks & payment systems and make bank deposits

* Communicate any facility issues that arise with building manager

* Maintain excellent relationships with building owners and managers

* Work with PAD and AAD to set a schedule for coverage of guest theatres

* Attend monthly board meetings and provide operational report including sales statistics

* Save & compile testimonials from patrons (via email, in-person, social media, etc.) for use in grant writing

* Update website as needed

* Research & suggest new technology needs as they arise

* Work with the Producing Artistic Director and Associate Artistic Director to develop and disseminate progress and impact reports for stakeholders and funders as needed



Marketing, Public Relations, and Graphic Design

* Arrange photo call and trailer creation for productions

* Design ads and purchase advertising space as needed

* Create and archive various promotional materials including but not limited to postcards, posters, and digital materials

* With PAD and AAD, write and send press releases; participate in interviews if needed

* Post and maintain social media presence

* Design, prep and prepare production program for print

* Prepare lobby displays when needed

* Engage with patrons, donors and subscribers during performances

* Update website

* Promote sponsorship and advertising opportunities for the season



Community Engagement Duties

* Assist with the development and implementation of events, fundraisers, and marketing opportunities to promote Pandora and the season

* Collaborate with Board of Directors to create activities, such as community talk backs, in support of main-stage productions that foster community education and engagement

* Foster relationships with organizations within and beyond the arts community that align with Pandora’s mission, vision, and values to engage new audiences across the city and region



Qualifications

* Demonstrated customer service or theatre management experience

* Experience or knowledge in technical fields such as website or database management is a plus but not required (WordPress)

* Exceptional verbal and written communication skills

* Ability to work well under pressure while maintaining boundaries so you can stay organized, motivated and focused

* Excellent people skills

* CRM database management (Salsa)

* A passion for community engagement and mission driven work

* Evening and weekend work is required

* Heavy lifting is sometimes required



Start Date: Summer 2023

Salary: $20,000
