Jacob's Pillow seeks an Human Resources Coordinator who is responsible for the support and maintenance of the Pillow’s Human Resources Information System(HRIS) and ensures accurate best practice business process/workflows and other system dependencies are in place to support the administrators of recruitment, hiring, annual performance reviews, benefits administration, open enrollment, payroll and reporting efforts. The HR Coordinator processes the bi-weekly payroll and maintains the record keeping of the full employee lifecycle. Assists with the administration of HR programs and training activities, as well as organization-wide communication and knowledge management.
STATUS: Full Time, Year Round Exempt
COMPENSATION: $40-000-$50,000
RESPONSIBILITIES
Serves as a primary resource in relation to HRIS setup and maintenance including efforts as it relates to HRIS implementation.
Responsible for all HRIS system administration responsibilities, data integrity, and reporting.
Develop project plans and monitor progress of HRIS initiatives including structural policy matters
Supports the administration and set up of performance reviews.
Design user-friendly training processes, guidelines, and documentation for HRIS system with a customer service approach.
Provide technical support, troubleshooting, and guidance to employees.
Develop dashboards for reporting key metrics
Responsible for all HR reporting and facilitating report requests
Ensure all HR-related systems are compliant with data protection laws.
Payroll
Prepares payroll entries and input into payroll system
Enters new hires, terminations, status changes, benefit and other salary deductions
Record and process employee information including salaries, paid time off, and working hours
Reconciles payroll variances with Controller and Director of Finance
Assists with payroll-related reporting
Human Resources
Maintains accurate up-to-date personnel files
Assists with drafting, seeking authorization and dissemination of Letters of Agreement
Assists with tracking and reconciliation of PTO, ST and LT disability
Conducts orientation for new hires and monitors onboarding procedures
Reconciles benefits billing and enrollments, assists with accounting requirements for recording and issuance of payment
Maintain HRIS recruiting software procedures including job postings, reminders to hiring managers, and maintenance of candidate records.
Provides administrative support for HR projects and the HR Director
OTHER DUTIES AND RESPONSIBILITIES
Provides back-up to the Office Administrator/Receptionist, as needed.
Facilitates 403b payroll funding.
PREPARATION, KNOWLEDGE, SKILLS & ABILITIES
Minimum 2 years of HR experience (payroll experience preferred).
Working knowledge of payroll compliance and agency preferred.
Proficient Microsoft Suite, Google Docs, payroll systems (Pay Cor preferred) skills
Prior nonprofit experience preferred.
Excellent organizational and oral and written communication skills.
Attention to detail and enthusiasm for administrative tasks.
Team player with a take charge attitude in a fast-paced work environment.
