Position Purpose:
American Conservatory Theater seeks a General Management Associate to join the General Management department in serving the production and operational needs of the organization. The General Management Associate is a full-time, exempt position that works closely with the General Manager and Company Manager to oversee all aspects of producing a season of plays as well as workshops and readings. The ideal candidate will be a self-starter who loves being around artists and has strong organizational skills to support a dynamic, artistic organization. The position requires a flexible disposition, discretion, the ability to remain level-headed in stressful situations, and an ability to make decisions in accordance with established procedures. This position also plays a significant role interacting regularly with all departments to support A.C.T.’s programs and initiatives.
Responsibilities: (please note, this list is not exhaustive, but rather a representation of job duties)
Administrative Duties:
Support the General Manager with
Preparing, processing, monitoring and administering artist contracts.
Tracking of production budgets including reporting and tracking actual expenses.
Reviewing box office settlements and preparing royalty reports.
Managing clearance for use of music used in productions.
Review and process bi-weekly IATSE crew payroll.
Support the onboarding of artists, including setting them up in A.C.T.’s Payroll system, Paycom, and Bill.com for independent contractors.
Facilitate payments and reimbursements to artists and vendors according to internal procedures
Facilitate union benefits preparation and distribution.
Create agendas for meetings and provide project management support on General Management projects. Take minutes for larger General Management led meetings such as show kickoffs and debriefs.
Track the status of interdepartmental projects and follow up on requests for information.
Create and maintain a process of artist billing. Communicate the artist billing requirements to A.C.T.’s Marketing Department for each project. Provide copy-editing support for A.C.T. publications to ensure they follow contractual requirements.
Attend the weekly New Works meeting and provide General Management support for developmental projects.
Provide administrative support for rehearsals and activities in studios.
Support the General Manager on other projects as needed.
Logistical and Artist Support Duties:
Serve as substitute Company Manager when needed, including providing after hours support for visiting guest artists
Support the Company Manager with setting up company housing and transportation for all visiting artists and traveling staff, including hotel/apartment accommodations, flights, shuttle and taxi service, shipping needs, pet requirements, etc. General Management Associate will also assist the Company Manager in responding to needs of artists in residence including both during normal business hours and nights and weekends.
Support the Company Manager with the management of ticket policies for every production. This includes house seats, opening night tickets, complimentary tickets, and production seats during previews.
Support the Company Manager with the planning and execution of company events including, but not limited to, Meet and Greets, Opening Night Parties, Company Meetings, and Closing Moments
In partnership with the General Management team, work to uphold A.C.T.’s commitments to being an anti-racist, welcoming, and inclusive organization as we are the first and major presence for guest artists.
Qualifications
Knowledge, Skills and Abilities:
Must be an extremely organized individual who is able to work with a high degree of independence and to set and meet priorities while handling multiple tasks.
Ability to collaborate and communicate well with others and has the ability to think on their feet.
The ideal candidate will lean on their empathy, patience, and sense of humor as they navigate the needs of each individual production.
Openness to learning and development as the department consistently strives to improve our practices
2-4 years of work experience either in Arts Administration, Hospitality or other artist facing positions at a performing arts institution or other live entertainment venue.
Demonstrate incredible attention to detail, the ability to creatively problem solve, and a desire to grow in the field of theatrical management.
Experience with Collective Bargaining Agreements. A working knowledge of LORT’s Collective Bargaining Agreements is beneficial.
Experience with Tessitura Ticketing Software, Paycom, and Bill.com is a plus.
Ability to cultivate and develop inclusive and equitable working relationships with A.C.T. colleagues and stakeholders.
Required/Minimum Qualifications or Basic Qualifications:
Evening and weekend work required based on show needs
Valid driver’s license
Ability to lift up to 40 lbs consistently
Proficiency in Microsoft Office (Word, Excel, Outlook)
Experience managing relationships with people from a variety of backgrounds; comfort engaging frequently with new people
