JOB SUMMARY
Reporting to the President, the Executive Assistant provides high-level administrative support for the President and other MPAC leaders, as assigned, to ensure they can efficiently accomplish key tasks and company initiatives.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Schedule, arrange and coordinate meetings, receptions and travel
• Screen phone calls and organize mail
• Compose and/or transcribe correspondence
• Organize and maintain filing system
• Handle organizational details for Board meetings, including transcribing minutes, correspondence and materials
• Correspond in a timely, pleasant and professional manner with all MPAC constituents (Board members, staff, artists, volunteers, customers, government officials/agencies, other arts organizations, vendors, etc.).
• Perform basic functions of various internal systems including Ticketmaster (ticketing) and VenueOps (event management).
• Serve as back-up to the Education & Administrative Associate to maintain the office, furniture, supplies and non-computer equipment.
• Serve as back-up to the Education & Administrative Associate to order and distribute supplies; place and/or coordinate all orders for goods and services and manage within the budget
• Support the Development Department in donor relations, events, mailings and other development initiatives as needed.
• Maintain confidentiality of all MPAC information
• Process President’s expense reports and check requests.
• Flexible schedule required to provide coverage for critical business situations. Work may be performed outside of normal business hours.

QUALIFICATION REQUIREMENTS

EDUCATION & EXPERIENCE
• High School Diploma or GED.
• Minimum five (5) years executive administrative experience or equivalent.
• Associates degree or bachelor’s degree preferred.
KNOWLEDGE, SKILLS & ABILITIES
• Excellent organizational skills, including exceptional accuracy and attention to detail
• Highly developed written and verbal communication skills
• Proven interpersonal skills with experience providing complex administrative support in a high-profile environment with tact and diplomacy, all while maintaining standards of professionalism for the organization in the areas of confidentiality, teamwork, timely and effective communications, enforcement of company policies, and standards of customer service.
• Motivated, organized, resourceful, and creative self-starter who is able to manage multiple projects and changing priorities on a tight deadline.
• Proficient in MS Office Products, especially Outlook.
• Proven ability to manage multiple outstanding tasks and/or projects.
• Proven ability to work under pressure while maintaining composure and a pleasant demeanor.
• Ability to be appreciative of diverse perspectives, and a commitment to support the organization’s racial equity, diversity, and inclusion (REDI) initiatives

Salary: $44,000-$55,000
