Brooklyn Academy of Music (BAM) is a multi-disciplinary arts center located in Brooklyn, New York. For more than 150 years, BAM has been the home for adventurous artists, audiences, and ideas—engaging both global and local communities. Reporting to the Director of Strategic Partnerships & Events, the Events Manager will manage the execution events on the BAM Campus and support the expansion strategy for external rentals and bookings. Also, manage and support the sales, lead generation, prospecting, research, and vetting process for leads/inquiries of rentals, bookings, and internal events on the BAM campus. In addition, build out and manage Events calendar that aligns with organizational goals as well as solicit, manage, and exceed revenue goals through BAM’s events. Essential duties and responsibilities: ● Events prospecting ○ In partnership with the Director of Strategic Partnerships, support prospecting, evaluating, and securing rental/event bookings across BAM's venues and spaces ○ Develop targeted strategies to attract clientele to BAM ○ Collaborating with key stakeholders to create premium brand experiences, captivating programming, and memorable activations on campus ○ With the Research team, identify new prospects, as well as maintain existing sponsor relationships for special events and third party activations ○ Field incoming inquiries and ensure all necessary information is gathered ● Events execution ○ Coordinate successful internal events, ranging from small-sized cultivation dinners for donors to Opening Nights and comprehensive benefit/gala evenings with support of the full Advancement Team. ○ Tasks include conceptualizing the event in coordination with Advancement/Executive leadership, logistics planning, developing print materials, maintaining donor listings and benefit fulfillment, and liaising with multiple departments on key areas of support and with external vendors. ○ Organize, supervise, and assist with advance preparation, volunteer supervision and day/evening-of tasks for cultivation events, such as opening night receptions, dinners, and receptions for current and prospective donors. ● Ongoing vendor management ○ Maintain and cultivate existing client and sponsor relationships throughout the year through communication, invitations to events, and relationship management ○ Collaborate with Marketing & Creative to develop, refine, and optimize marketing materials to successfully attract clients and support events ● Administrative ○ Maintain accurate solicitation and relationship records in the database ○ Manage and track overall spend by event within budgets. Process invoices and contributions related to these events. ○ Set up and manage calendar and seasonal plans for upcoming events ○ Liaise cross-departmentally as needed ○ Drive a hospitality culture at BAM, while promoting strategic business initiatives Working conditions: • Weekend work and evenings depending on rentals • Physical requirements including lifting (e.g., transporting heavy cases of wine, print materials, etc.) and long hours on feet at events Required Education, Knowledge, Skills, and Abilities: • Bachelor’s degree, or equivalent work experience • 5-6 years of event and management experience • Knowledge of and proficiency in Microsoft Office Suite and the Internet • Working knowledge of Donor databases (Tessitura preferred) • Excellent oral and written communication skills in various formats with a variety of personalities • Excellent multitasking and project management skills • In depth understanding of financials and forecasting to ensure private event sales bookings are accurately priced with appropriate sales & demand • Experience managing budgets and working cross-functionally to deliver an exceptional experience for constituents • Demonstrate ability to effectively manage external stakeholders • Highly self-motivated • Exceptional attention to detail • Ability to work in a fast-paced environment • Ability to work remote and in-person Compensation: The salary for this position is $61,661 – 65,000 per year. The role is represented by Local 2110 and will be paid in accordance with the BAM/UAW Local 2110 Collective Bargaining Agreement. This position is full-time, exempt, and eligible for benefits.
