Under the general direction of the Parks and Recreation Department and Coppell Arts Center Manager, the Arts Center Event Services Supervisor provides professional client services in the planning, organizing, and managing of internal and external events that include private rentals, private ticketed performances, City meetings, and functions. The Arts Center Event Services Supervisor also manages the Center’s concession program with the Center’s caterer. The position will serve as a Manager on Duty (MOD) for events as needed and other duties as assigned.
Essential Job Functions
Serves as the liaison between the client and the Center’s staff & vendors
Position coordinates necessary arrangements and contracts with clients for events (layouts, setup/strike, food & beverage, A/V, security, custodial, parking, ticketing, etc.) and supervises events from load-in through load-out.
Oversees part-time event staff.
Coordinates staffing for appropriate event coverage; set-up to breakdown.
Directs in the selling of space and promotes the usage of the facilities for a variety of events including conventions, conferences, business/social groups, food and beverage events, meetings, and seminars.
The supervisor oversees the rental sales program and will be responsible for business development, meeting revenue goals, and administrative duties such as contracts and invoices for events and collection of fees.
Event management duties include creating diagrams and floor plans with setup requirements, event schedules, assisting with setup, and providing on-site event support including after-hours and weekend events.
Develops "Profit and Loss" reports on all events held within the facilities.
The event services sector also oversees the concession program at the center with the contracted caterer.

The Arts Center Event Services Supervisor must possess an entrepreneurial personality and skill-set. The employee is expected to figure out solutions to various and diverse situations. Must be able to work effectively under pressure and stringent schedules and produce accurate and satisfactory results. Requires the ability to read, analyze and interpret general business periodicals, professional journals financial reports, legal documents, and government regulations. Requires the ability to effectively present information and respond to questions from groups of managers, customers, and the general public, and management. This employee must also be able to develop municipal budgets and perform personnel management duties including all aspects of the employee selection, evaluation, and disciplinary processes. This employee must possess the ability to effectively plan and prioritize tasks as well as the ability to oversee, direct, review, and analyze proposals as well as tasks performed by subordinate employees and personnel. Essential job functions require the ability to operate a personal computer with a variety of software applications, perform repetitious office tasks on a routine basis, and prepare reports, correspondence, and other documentation. The individual must also be a good public speaker, with the ability to think on one’s feet during public hearings. The ability to effectively communicate with City officials, employees, and members of the general public using the English language verbally and in writing is essential.
Knowledge
Candidate must have a strong understanding of event operations at high-volume performing arts center, the convention center, hotel, and/or live entertainment venues. Employee must have experience in event rental sales and building programs. Strong organizational skills with the ability to manage multiple projects simultaneously from concept to completion and effectively meet deadlines. Strong leadership, effective communication, coordination, and event planning skills with high attention to detail. Previous experience managing departmental budgets. Ability to successfully communicate verbally and in writing with senior management and diverse staff. Must be comfortable speaking in public and providing training and feedback to large groups of people. Experience
It is preferred that the Arts Center Event Services Supervisor possess a Bachelor’s degree in Arts, Sports Entertainment Management, Theatre, Hospitality Management, or other relevant fields of study required. Five (5) years experience required, plus a minimum of three (3) years at a management level managing multi-use arts operations. The Arts Center Event Services Supervisor must have a valid Texas Driver’s license because essential job functions require travel to various sites within and outside the City.
Working Environment
The Arts Center Event Services Supervisor performs approximately 85% of essential job duties in the municipal office environment.
Reporting Relationship
The Arts Center Event Services Supervisor reports directly to the Arts Center Manager under the Parks and Recreation Department.
