JOB SUMMARY
Under the general supervision of the Director of Event Services, the Event Services Administrative Associate assists in the organizing, mobilizing and the coordination of staff, event participants, officials and administrators for the successful execution of every event at Marcus Performing Arts Center. This position is responsible for working closely with the Front of House staff throughout the execution of each event, payroll transactions, coaching & development, training needs and other administrative duties that may arise.
ESSENTIAL DUTIES AND RESPONSIBILITIES
• Administer and assist in the recruitment, hire and onboarding processes for Front of House which includes but is not limited to, scheduling interviews, reference and background checks, completion of all onboarding forms, etc.
• Manage the Usher orientation and training program process and curriculum.
• Maintain Front of House schedule, event assignments and time off requests for every event using the scheduling software.
• Maintain email and phone lists for consistent communication with the Front of House staff using the scheduling software, email, and telephone.
• Track staff attendance, review and approve time clock entries for payroll purposes.
• Compose and submit wage reports for billing and wage estimates for event planning purposes, upon request
• Manage and secure the cash bank in the safe and record Front of House cash deposits for the Finance Dept.
• Participate in the event management rotation by performing the Essential Duties and Responsibilities outlined in the Theater Manager job description and in the Theater Manager Manual.
• Assist the Director of Event Services and HR with the offboarding process.
• Manages the use of the ticket scanners. Installs software updates when notified by Ticketmaster.
• Schedule annual coaching and development assessments with employees and distribute appropriate evaluation templates.
• Assist the Director of Event Services with training new Theater Managers and newly promoted staff.
• Update department policy, procedure and training manuals, departmental forms and position summaries , as necessary.
• Collaborate with HR to complete and file injury reports.
• Administer the Usher uniform inventory and dry-cleaning process.
• Contribute to organizational initiatives to expand and advance diversity, equity, accessibility, and inclusion
• Distribute the MPAC’s racial equity, diversity, and inclusion goals to persons interested in joining the usher team, in advance, as a standard procedure of the usher application process.

QUALIFICATION REQUIREMENTS

Education and Experience
• Two years customer service experience. Administrative support experience preferred.
Knowledge, Skills and Abilities
• Excellent organizational skills and attention to detail.
• Tactful, clear and concise oral and written communication.
• Ability to identify and resolve problems in a timely manner. Gather an analyze information skillfully.
• Ability to work independently and to establish, monitor, and achieve goals with minimal supervision
• Excellent knowledgeable of computer software systems such as Outlook, Paylocity, VenueOps, Better Impact, Venue Cube, Blackbaud, Microsoft Office suite and/or similar software packages.
• Ability to communicate to all levels of the organization and to the public, donors, customers, business contacts, vendors and elected officials.
• Ability to be appreciative of multiple diverse perspectives, and a commitment to the organization’s initiatives regarding diversity, equity, accessibility, and inclusion.
