Governors State University is seeking to hire a Box Office and Group Sales Specialist for the Center for Performing Arts to be responsible for coordinating all Arts in Education (AIE) and public group orders. The Center for Performing Arts (Center) serves more than 20,000 students, teachers, and parents; and generates over $100K in revenue annually. Responsibilities include creating contracts, communicating terms and procedures to educators, and collecting and processing deposits and final payments. In addition, this position supports the Center's box office by training students and 900-hour workers and has authority to act in a supervisory capacity in the absence of the Box Office Manager.
Essential Responsibilities
45% Box Office Support
• Sell tickets for Center events (online, phone, and in person).
• Prepare financial/accounting reports for interested parties, including GovState departments and external rental clients.
• Work with the Executive Director, Cultural Marketing Director, and Box Office Manager to establish prices, discounts, and promotional offers.
• Demonstrate thorough knowledge of Spektrix ticketing software and Customer Relationship Management (CRM) software to build both general admission and reserved seating events; create pricing tiers and price bands, discounts, and coupons; assign marketing attributes and patron preferences.
• Generate end-of-day reconciliation statements and cash deposits.
• Assist customers with ticket purchase decisions; suggest additional purchase options by recommending upcoming events; provide directions to venue.
• Organize will call tickets for upcoming events; print and mail tickets for will call pickup.
• Answer box office incoming calls and route to appropriate person or department.
• Maintain 25K+ database (emails, home addresses, ticket histories, genres, contact preferences, point-of-contact history, and fund-raising prospects).
• Compile customer data for marketing Arts in Education and group sales.
• Maintain cash and bank; generate daily sales reports.
• Provide excellent customer service with knowledge of individual shows, ticket sales, prices, times of shows, act times, and information about the show and the theater.
• Maintain vouchers and comp tickets for various requests.
• Train box office student workers and part-time staff on box office procedures for phone etiquette, selling, reserving, exchanging, refunding tickets, and resolving customer complaints and problems.
• Stay up to date with the performing arts ticketing industry, including pricing, benefits, discounts, customer service, and communication.
45% Arts in Education and Group Sales Coordination and Contract Execution
• Coordinate AIE and mainstage group orders for the Cener which serves more than 20,000 students, teachers, parents, and community members; and generates over $100K in revenue annually.
• Manage AIE and group contracts, including creation, distribution, execution, term adjustments, and enforcement.
• Coordinate hospitality in conjunction with the theater manager and patron services manager, bus drop-off and pick-up instructions, and special accommodations for school groups.
• Work with Patron Services Manager to coordinate, schedule, and assign staffing for AIE performances and group services.
• Work with the Director of Education to streamline AIE contracts and ensure procurement compliance.
• Serve as point of contact for AIE and group reservations, inquiries, and requests.
• Reserve tickets utilizing Spektrix Ticketing System.
• Monitor and process deposits and final payments; send confirmations and receipts for payments received.
• Track daily activities on Excel spreadsheets.
• Generate and distribute AIE contracts and payment confirmations to schools and educators.
• Contact clients for collection of payments by phone, email, or letter until terms on contract have been successfully completed.
• Work with Director of Education to create and distribute study guides, PowerPoint presentations, and other educational resources.
10% House Management/Hospitality/Educator Services
• Assist House Manager and Director of Education with AIE performances, including student arrival and dismissal to ensure safety.
• Act as liaison with teachers and educators to distribute pre-performance educational materials and post-performance surveys, and to respond to inquiries.
• Serve as assistant house manager or usher for events as needed.
Hourly Range: $16.50 to $18.98.
(This is a non-unionized position. Salary starts at the base and is determined based on Education and Experience exceeding the minimum qualifications).
